Job description: Reporting to the Vice President for Student Affairs (VPSA), the Executive Assistant provides administrative, financial, programmatic and project management support for a wide range of divisional and institutional issues and projects and serves as a liaison between the division’s departments and programs, the office of the VPSA and other university offices.
Job Summary
- Assumes responsibility for special projects and on-going programs within the Division of Student Affairs, as assigned.
- Provides direct assistance to the VPSA and Student Affairs Executive Team, as needed.
- Co-manages logistics for the Close Scholars Program, co-coordinates logistics for the Global Close Scholars and supports the Council of Student Leaders.
- Manages the VPSA’s calendar and coordinates/schedules meetings/appointments.
- Provides initial intake of public, parent and student concerns and/or grievances.
- Researches, collects and evaluates information and determines appropriate action according to established policies and procedures.
- Fosters and maintains excellent working relationships at the highest levels inside and outside of the university.
- Maintains electronic and paper files.
- Monitors and maintains supplies and office environment for operational efficiency.
- Plans, monitors and manages budgets and financial matters: Prepares, processes and reconciles financial transactions and associated paperwork for procurement cards, purchasing and reimbursements.
- Manages VPSA conference attendance.
- Monitors foundation accounts.
- Assists with the management of brand strategy for the VPSA office, ensuring strong and consistent voice throughout all communications, including website and social media platforms.
- Researches and analyzes issues of current interest/need for annual report, brochures, public relations materials or presentation to VP; prepares summaries and analyses of divisional and university reports.
- Co-manages the hiring, onboarding, training, scheduling, supervision and evaluation of student Digital Media Assistants and Office Assistants.
- Provides logistical and administrative support for university and divisional committees and meetings, including Board of Trustee meetings, divisional committees, search processes, etc.
Required Qualifications
- Bachelor’s degree.
- Three years of relevant administrative support experience.
Preferred Qualifications
- Proficiency with Office365 products, social media platforms, and website content management.
- Experience with program management, hiring, supervision, and budgeting/financial recordkeeping.
- Experience with software programs associated with money management (i.e. Banner), Qualtrix, Adobe products, virtual communication platforms, and other software solutions.
Knowledge, Skills & Abilities Summary
- Knowledge of office management policies, best practices, and procedures.
- Working knowledge of budgeting/financial recordkeeping, program management, and supervisory practices.
- Excellent communication and customer-service skills.
- Proven ability to interact with diverse internal and external constituencies and establish and maintain effective working relationships with faculty, staff, students and administrators.
- Must be discrete, able to exercise sound judgment, and have a proven track record of handling highly sensitive and confidential information.
- Ability to coordinate diverse and complex administrative functions expeditiously while remaining attentive to detail and being well organized.
- Sufficient technical abilities to master software required to perform job duties at a high level.
