This position is a primary resource for our onboarding members and assisting new employees (students, administrative staff, faculty, union) for a successful start at Wellesley College.Primary Position ResponsibilitiesOwnership and Upkeep of the New Hire Tracking File: This task involves maintaining and updating the onboarding tasks in the New Hire Tracking file, which is essential as it influences other HR processes.Weekly Call with the Employment Team: Schedule these weekly calls with the Employment team and lead the discussion on any blockers or issues during the meeting to ensure timely resolution.Ordering and Tracking Onboarding Documents: iMonitor the completion of these forms and background checks, ensuring all required documents are completed and filed promptly.Coordinate and Conduct In-Person I-9 Appointments: Reach out to new hires and ensure proper coordination and smooth in-person sessions. This includes booking conference room space to conduct these appointments.Monitor Inventory and Distribute New Hire Gifts: Monitory inventory on a regular basis and notify supervisor when there is a need to to re-order supplies or propose new gifts.Coordinate Welcome/Benefit Orientation: Send out communication/invitation to new hires. Deliver the ‘welcome’ portion of the presentation.Oversee I-9 Compliance: Alert supervisor of any issues or non-compliant concerns. Stay up-to-date on any changes to I-9 regulation.Serve as Backup for HR Office Assistant: Provide support in cases when the HR Office Assistant is out of the office (for example, triage walk-ins to HR office)Support Ad-Hoc Projects: Being part of a team means we all help each other during peak times. This role will also help out, as needed, on ad hoc projects.Basic QualificationsAssociates degree or equivalent experience.1-2+ years’ administrative experience preferably in Human Resources.Skills and AbilitiesExcellent organizational, written and verbal communication and presentation skills.Experience with Google Suite and Microsoft Office, including Word and Excel.Knowledge of employee database systems (such as CSI, Workday).Excellent attention to detail with the ability to proactively escalate items as needed.Capacity to handle confidential data with discretion and sensitivity.Curiosity mindset and ability to learn quicklyAll employees hired are strongly encouraged to be up to date with all vaccination and boosters against COVID‐19.Flexwork ArrangementThis position is primarily a four day in office / one day remote with the understanding that during peak times there may be a need for full weeks onsite.Company DescriptionWellesley’s mission is to provide an excellent liberal arts education to women who will make a difference in the world.
