Job description: Job Description:The Grants Manager is part of the Computer Science department within the School of Engineering (VUSE) at Vanderbilt University. The position is to have a working knowledge and understanding of pre- and post-award grants management to serve the work unit. It requires exercise of independent judgment, initiative, and the ability to make decisions and internal procedures relative to the department’s operations as well as other tasks assigned.This position is post-award focused, but some pre-award work might be required with this position. The position will function with a high degree of understanding of University life, policies, and procedures.Computer scientists are actively involved in developing breakthrough technologies from software for mobile devices to artificial intelligence and machine learning and from cybersecurity to smart healthcare systems that transform every aspect of our lives. The Computer Science department offers an accredited undergraduate degree in computer science. At the graduate level, we offer M.S. and Ph.D. degree programs in computer science. Our undergraduate and graduate curricula are constantly refined to meet real-world demands and today’s rapid changes in technology with a goal to provide students with the skills required for addressing the challenges of the 21stcentury. Prevalent throughout the department is an interdisciplinary approach to teaching and research to enhance the exchange of ideas.Work Environment: This position will be considered for hybrid work in the Metropolitan Nashville area or remote work outside of this area.Duties and ResponsibilitiesPost-award responsibilities may include:
- Analyzes and interprets complex grants and contract specifications, guidelines, and regulations.
- Monitors, analyzes and manages budgets and expenditures along with all aspects of the grants to ensure that compliance with sponsor terms and conditions, Uniform Guidelines, and University policies is maintained.
- Creates budget reconciliation and forecasting reports and uses these reports to meet regularly with faculty to review their financial situations.
- Ensures compliance with requirements such as effort reporting, financial & progress reporting.
- Collaborate with sponsors for appropriate prior approval requests, extensions, budget revisions, and general questions.
- Human Capital Management (HCM) Costing Specialist
- Completes timely journal entries as necessary, grant closeouts, etc.
- Assisting with rate setting/implementation for PI/Faculty Service Center(s)
- Performs other duties as assigned
Pre-award responsibilities may include:
- Provides policy guidance and assistance with all aspects of proposal development, administrative forms, sponsor-required certifications and representations, and compliance requirements.
- Develops an appropriate budget
- Works directly with the Principal Investigators & collaborators, and will interface with central administrative offices to ensure that the applications meet all university, school and sponsor requirements
- Performs application submission, ensuring deadlines are met
- Responds to sponsor requests and questions
- Performs other duties as assigned
Supervisory Relationships: This position does not have supervisory responsibility. The position reports to the Senior Administrative Officer.Qualifications
- A bachelor’s degree is strongly preferred with a preference for a major in finance, accounting, or business.
- Three or more years of experience in pre- and post-award management experience (both federal and non-federal) is required. A combination of education and experience may be considered.
- Problem-solving skills and the ability to be flexible required.
- Financial Unit Manager (FUM) and Procurement training is preferred.
- Strong administrative support skills are preferred.
- Excellent organizational and time management skills are preferred.
- Excellent written and verbal skills are preferred.
- Outstanding attention to detail is preferred.
- Experience working with investigators on the management of complex research awards and working with a variety of sponsors is preferred.
- Intermediate Excel skills is preferred.
- Advanced working knowledge of research compliance issues & key federal grant regulations is preferred.
