In this pivotal role, you will be the right-hand person to our CEO, handling scheduling and calendaring to facilitate his initiatives, and to make sure he’s efficient and productive. You will ensure that our executive team remains aligned and focused on their deliverables, helping to keep track of their tasks and goals with great attention to detail.This role requires a diligent, detail-oriented individual with strong project management skills, cross-functional collaboration, and a passion for helping others succeed.What You’ll Do:Manage the CEO’s calendar, providing recommendations on time management, prioritization, and business needs.Ensure the CEO is well-prepared for upcoming meetings, presentations, and projects by proactively gathering necessary materials in advance.Contribute to team meetings and off-sites by assisting with planning, taking notes, and driving relevant action items forward.Identify new and efficient methods to maximize the CEO’s time, including weekly reporting, goal tracking, and coordinating team meetings.Own the e-teams operating calendars, supporting recurring events such as All Hands meetings and quarterly goal-setting processes.Collaborate with internal teams to ensure cross-functional alignment on projects, company milestones, and internal events.Manage travel arrangements, including handling travel policies, visas, costs, and documentation.What You’ll Need:Experience as a remote Executive Assistant, demonstrating progressive responsibility, preferably within the SaaS industry. You thrive in a fast-paced, dynamic environment.Experience supporting executives and e-teams. You are skilled in building and managing relationships with senior leaders and understand executive needs, timelines and workflows. Your experience allows you to foresee and resolve challenges before they even happen, with a long-term perspective.Top-Notch Communicator: Exceptional ability in both verbal and written communication, capable of articulating concepts clearly and persuasively across all levels of the organization.Excellent Organizational and Project Management Skills: You will ensure the e-team is and stays on track – this requires you to be extremely organized, develop project plans and project meetings, hold others accountable to their deliverables, and document decisions.Community-Builder and Influencer: Proven experience in fostering a positive and collaborative company culture in a remote environment and building strong, supportive communities internally.Ability to travel 3-4x per year to support in person eventsAlignment with our valuesInclusivity and PayAt Maze, we are dedicated to building an equitable, inclusive, and authentic workspace.
