Job description: We are seeking a highly skilled Supervisor, Lease Administration that will possess strong expertise in lease accounting, particularly in compliance with ASC 842 standards, as well as proficiency in abstracting and interpreting lease agreements. The role requires previous hands-on experience in auditing lease-related invoices and effective communication with landlords, internal business partners, and external vendors. Additionally, the supervisor will be responsible for managing a team, ensuring efficient operations within the lease administration department. The lease administration department is responsible for reconciling and processing payments for additional rent for our retail stores through reconciling accounts with outstanding balances and ensuring amounts billed are owed in accordance with the terms of the lease. This process includes desktop audits of all Occupancy expenses charged by the Landlord to ensure compliance with the lease by interpreting complex commercial lease language, attending to details, and charging back to the Landlords for expenses not owed. We are open to remote based candidates for this position, however due to the collaborative nature of this role, candidates based in Eastern/Central time zones are preferred.Reports To: Manager, Property AccountingEssential Duties and Responsibilities:
- Ensures accurate and timely recording of all lease-related obligations, including base rent increases, percentage rent, operating expense (CAM), real estate tax and insurance, and accounts payables
- Ability to understand and interpret complex commercial lease terminology (base rent, operating expenses, commencement date, rent commencement date, real estate tax, insurance obligations, etc.)
- Leads the implementation of the internal lease administration department workflow and business operations, including evaluating systems, documenting processes and procedures, implement SOX controls, and coordinate and implement updates to lease data
- Continuously evaluate and enhance lease administration processes to optimize efficiency and accuracy
- Maintain regular communication with landlords, legal, real estate, and external stakeholders to address lease-related issues and negotiate terms.
- Lead and supervise a team of lease administrators, providing guidance, support, and training as necessary.
- Assesses new or modified accounting systems
- Must have an in-depth understanding of accounting principles related to 842 lease accounting when interpreting key lease components
- Perform detail reviews of complex lease agreements to extract critical financial and non-financial information to identify problematic lease terms and escalate when necessary
- Review and conduct thorough audits of lease-related invoices to verify accuracy and adherence to contractual terms.
- Ensure compliance with lease terms, regulatory requirements, and internal policies.
- Demonstrate high level of systems knowledge with an ability to understand information from multiple systems (Lucernex, Oracle, Cloud Suite Financials, etc.) and will possess the analytical skills to match data between systems
- Generate reports and provide insights into lease portfolio performance, financial obligations, and upcoming lease expirations.
- Supports other responsibilities assigned as needed for financial close and reporting, including receivable billings
- Required to present management recommendations based on analytical data to key stakeholders throughout the business

- 5+ years of experience in retail lease audit or commercial retail shopping center property management
- Previous experience with people management
- Familiarity with Real Estate and/or Real Estate transaction experience
- Proficiency in analyzing Real Estate leases and interpreting lease terminology
Preferred Qualifications:
- Retail experience a plus
- Previous Lease Administration system (ex: Lucernex, etc.) experience preferred
- Prior experience with Oracle Cloud ERP
Education:
- Bachelor’s Degree in Finance, Accounting, or other business-related degree; MBA a plus
